Track: Edit System Defaults

The system defaults affect some of the parameters for users, departments, and destinations, for example, whether users, departments, and destinations are subject to quotas (Subject to quotas).

When you add a new user or department, most of the parameters are set to the value default, which means that the parameter will use the value of the corresponding system default parameter at run time. In addition, most of the destination parameters can be set to default. If you change a system default value, any corresponding value in the user, department, or destination parameters that is set to default will behave as though it were changed. The effective value for each parameter is the actual value used.

If you do not want to use the system default value for a particular parameter, you can set its value in the user, department, or destination settings. This setting becomes the effective value for that parameter.  However, the setting for a destination can override some user and group parameters regardless of their value (these parameters are...). The effective value becomes the value of the destination setting if the destination exists and the parameter value is not defer. Furthermore, if a destination parameter is set to default, EasySpooler uses the value of the corresponding parameter in the system defaults.

For example, you may want all but one user to be subject to quotas, so you set the system default for Subject to quotas to yes and you leave the setting for Subject to quotas set to default for all users except one. Then you set the parameter Subject to quotas to no for the user who is not subject to quotas. The effective value for Subject to quotas is no for this particular user unless the user submits a document to a destination for which Subject to quotas is set to yes or default. Then yes becomes the effective value.

If quota checking is active for both users and departments, EasySpooler uses a sequence of checks to determine which values to use for certain parameters. When a document is spooled (if llpchecktrack is set to Yes in the global tuning parameters or printed, EasySpooler checks the values for Subject to quotas, Spool over quota (if spooling), Print over quota (if printing), Spool status display (if spooling), Over quota save time, Email notification, and Notification percent.   1. Checks to see whether the user is over quota. If yes and the document is not accepted, uses the effective value from the user to determine how to handle the document and notification. If the user is not over quota or the document is accepted, goes to step 2.

  2. Checks to see whether the department is over quota. If yes and the document is not accepted, uses the effective values from the department to determine how to handle the document and notification. If the department is not over quota or the document is accepted, goes to step 3.

  3. If the document was accepted at both the user and department levels, uses the effective values from the user to determine how to handle notification.

To edit the system defaults:

  1. Click Track on the main menu and select System defaults from the drop-down list. The System Defaults window opens.

  2. Look at the description of each parameter and select the appropriate option. For a complete list of the parameters for the system settings and their default values, see Track: Change Default Settings.
