The system settings affect various aspects of Track overall, for example, whether new users are automatically added to the tracking database (Setup new users). They also govern the tracking of usage statistics and the enforcement of quotas by user and by department. You have the option of tracking and enforcing by both user and department. You can also track statistics for destinations (Track destination usage) and the system as a whole (Track system usage).
If you want to gather usage statistics for each user, set TrackUserUsage to yes, and if you want to enforce user quotas, set User quotas to yes. If you want to gather usage statistics for each department, set Track department usage to yes, and if you want to enforce department quotas, set Department quotas to yes.
You can set the department for each user in the user settings and the department for each destination in the destination settings, see Track: Add Destinations. In addition, you must set the Department source parameter in the system settings to indicate how the department is to be determined. With this parameter, you have four options:
User
Select this option if you want to gather statistics and enforce quotas for the department of the user who spools a document.
Destination
Select this option if you want to gather statistics and enforce quotas for the department associated with a particular destination.
Dest then user
Select this option if you want EasySpooler to look first for a department entry for the destination of the document and, if a department is not specified, to look next for the department of the user who spooled the document.
User then dest
Select this option if you want EasySpooler to look first for the department of the user who spooled the document and, if the user’s department is not specified, to look next for a department entry for the destination of the document.
NOTE: For statistics, if EasySpooler cannot determine the department, it accumulates statistics in a department called unspecified.
For quota checking, if EasySpooler cannot determine the department, it looks for a department called unspecified and uses it, if found. Otherwise, EasySpooler uses the system defaults with an available quota of zero points to determine whether a request is allowed at the department level. If you want to enforce quotas for departments and make sure that requests get handled in a specific way when no department can be determined, you can add a department called unspecified. See Track: Add a Department.
